Persona Headshots is operated by Babz Studios in Calgary, Alberta. This page describes what actually happens to the information you give us — what is collected, where it goes, who processes it, and how to have it removed. It describes the system as it works today rather than a generic template.
What we collect
The free headshot audit
When you submit the headshot audit form we collect your name, your email address, your LinkedIn profile URL, your role (optional), what you want the photo to do for you (optional), and the photograph you upload.
The contact form
When you send an enquiry from the contact section we collect your name, your email address, the session type you selected (optional), a preferred date (optional), and your message.
Nothing on this site collects anything passively beyond what is described under Cookies and tracking below.
Your photograph
This is the part worth being precise about. The photo you upload for an audit is sent to Anthropic, the company behind the Claude AI models, which analyses it and returns a written critique. That critique is your audit.
We do not store the photograph. It exists in memory for the length of the request that analyses it. It is not written to our database, it is not part of the record we keep of your audit, and it is not forwarded to any other system. What we keep is your name, email, LinkedIn URL, role, context, and the resulting written critique — not the image.
What Anthropic does with the image on its side is governed by its own terms, not ours. It is processed under Anthropic’s privacy policy. If that matters to your decision, read it before uploading.
Where your information goes
We use a small number of service providers, and each one receives only what it needs:
- ClientPulse — Babz Studios’ own client-management system. Both the audit form and the contact form send your name, email, and the details you provided. It is where enquiries are actually managed.
- Resend — our transactional email provider. It sends your audit results, confirmations and auto-replies, the notification to Babz, and any follow-up emails.
- Anthropic — receives your uploaded photograph and the role and context you typed, solely to generate the audit. Nothing from the contact form goes to Anthropic.
- Upstash — the hosted database that currently holds audit records. It holds no photographs, and it is being retired as records move to ClientPulse.
- Vercel — hosts this website and runs the code that handles your submission.
We do not sell your information, we do not share it with advertisers, and we do not use it to build profiles for anyone else.
Where it is processed
This site runs in Vercel’s US East region, and our email, database, and client-management providers are US-based as well. Your information is therefore processed and stored outside Canada, where it may be accessible to authorities under the laws that apply there. Submitting a form on this site is your consent to that transfer.
How long we keep it
- Audit records in our own database expire automatically after 90 days and are removed by the database itself.
- Records in ClientPulse — your enquiry, contact details, and correspondence — are kept as long as they are needed to run the business relationship, and are deleted on request.
- Emails we have sent you remain in Resend’s delivery logs under their own retention schedule, and in your inbox until you delete them.
Photographs are never stored, so there is nothing there to expire.
Emails you may receive
Submitting either form starts a small number of emails: a confirmation or auto-reply, your audit result if you asked for one, a notification to Babz, and a short follow-up sequence afterwards.
Every follow-up email carries an unsubscribe link, and using it stops the sequence immediately. You can also reply to any email asking to be removed, or write to babz@babzstudios.com. Under Canada’s anti-spam legislation you may withdraw consent at any time, and we will act on it.
Your rights
Under PIPEDA you can ask us to:
- tell you what personal information we hold about you,
- correct anything inaccurate,
- delete it, or
- withdraw your consent to further contact.
There is no self-service deletion page on this site yet, so these requests are handled by hand. Email babz@babzstudios.com and your information will be removed from our own database and from ClientPulse both. PIPEDA allows us up to 30 days to answer an access request; in practice it will be sooner.
Cookies and tracking
This site sets no advertising or analytics cookies. There is no Google Analytics tag, no Meta pixel, and no third-party tracker on any page.
The only thing kept in your browser is a single preference — whether you chose the light or dark version of the site. It is stored locally on your device and never sent to us.
Children
This site and its services are intended for working professionals. We do not knowingly collect information from anyone under 18.
Changes to this policy
If this policy changes, the date at the top of the page changes with it. A material change to how we handle information you have already given us will be sent to you by email rather than posted quietly.
